We are looking for an experienced Facility Coordinator to oversee all building-related activities. In this role, you will report to the Facility Manager Campus Kempen.
The Coordinator will be supporting the preservation of the good condition of our infrastructure and ensuring that facilities are clean, safe, properly maintained and well-functioning.
The ideal candidate will be well-organized and will ensure that our warehouses and offices are problem-free, well maintained and safe so that employees can work under the best conditions.
Your tasks and responsibilities
Technical Facility Coordination:
Providing an effective front desk service for all internal and external customers/contractors including
daily delivery and coordination of timely answers and solutions to requests, according to existing directives and licenses
Scheduling and executing regular technical checks agreed in service contracts and organizing preventive maintenance actions
Managing the supplier performance and ensuring it meets agreed service delivery standards
Requesting and evaluating supplier offers, looking for competitive alternatives
Planning, preparing and supporting internal moves
Acting as a single point of contact in case of technical alarms
Controlling consumptions of Gas, Water, and Electricity
Supervising external warehouses (overflow)
Assisting in local Facility Management projects
Ensuring the proper execution of hard services by concerned team member
Carrying out the periodical site & building checks ensuring the sites are in good order, noting defects and coordinating follow up on action items
Assisting the Facility Manager to monitor services standards
Quality control and supplier follow up of soft services
Assisting the Facility Manager to ensure the infrastructure complies with all statutory regulations and codes of practice
Working on department guidelines and standard procedures
Operating and maintaining an effective filing system for the department
Local superuser for our CAFM
Recording and monitoring all costs and expenses for all facility budgets
Process audit reports & technical inspections and coordinate follow up actions
Ensuring building plans are being kept up to date
Assisting with preparing and tendering contracts ensuring commercial competitiveness
Providing administrative support to the facility manager, arranging meetings, filing, and purchase orders
Sufficient experience of providing a facility or maintenance service in a busy organization
Complaints handling and follow up on procedures
Understanding compliance requirements and working with service level agreements
Disposing of a great amount of enthusiasm and commitment to learning about and get involved in the department's activities
Ability to prioritize the workload, to work under pressure with a high level of organizational proficiency and initiative against challenging deadlines
Good numeracy skills and the ability to process invoices accurately and efficiently
Goal-oriented, organized team player who can encourage his team and are able to mentor, lead and have the personality to deal tactfully, calmly and effectively with a wide range of people from within and outside the organization. Managing a small team of caretakers.
